Is an AI Receptionist Worth It? A Break-Even Calculation for Businesses Under $2M

"Worth it" has a precise meaning: the extra revenue an AI receptionist captures in a month is larger than what it costs in a month. Everything else on this page is a way of estimating those two numbers honestly, including the three situations where the answer is no.
We sell one. The numbers below are ours where they are ours, and sourced where they are not.
The only formula that matters
Break-even jobs per month = monthly plan price ÷ (average job value × your margin on it)
If you would rather not think about margin, use job value alone and treat the result as the number of revenue jobs needed, then remember the real answer is somewhat higher.
Break-even
Leave blank to count revenue. Fill it in to count what you actually keep.

What it costs
After Hours CallBot's published plans, from the FAQ:
| Plan | Monthly | What's in it |
|---|---|---|
| Starter | $199 | 1 AI phone number, 24/7 answering, Google Calendar, Calendly, TidyCal, Google Sheets, email summaries, 10 voices |
| Pro | $299 | Starter plus custom CRM integration, advanced training, custom call flows, Zapier/webhooks, outbound calls |
| Business | $499 | Pro plus chat widget, priority support, white-glove onboarding |
Each plan includes a block of call time; beyond it, calls bill at $0.12 per minute. There is a 14-day free trial with no card required, and you can cancel from the billing settings at the end of any period.
So the monthly cost is the plan price plus overage. For a business taking 200 calls a month averaging three minutes, that is 600 minutes; whether any of that exceeds the included block depends on the plan, and the overage on the whole 600 minutes would be $72 even if none were included. Budget $199–$571 a month across the whole range and you will not be surprised.
What it recovers
The revenue side is the missed calls you currently lose, converted at your close rate. If you have not measured your miss rate, the missed-call calculator walks through the sourced defaults; the short version is that measured miss rates cluster at 20–35% of business-hours calls (dental 20–32%, law firms 34.8% in a 1,200-call audit, HVAC 30%+ in peak), and about 80% of callers who reach voicemail leave no message. (Scheduling Institute · Legal Navigator · KaiCalls · CRM Magazine)
Those are the calls the AI answers that nobody was answering before.
The break-even by industry
How many additional booked jobs a month pay for each plan, using sourced job values and no margin adjustment:
| Industry | Job value used | Source | Jobs to cover $199 | $299 | $499 |
|---|---|---|---|---|---|
| Emergency plumbing | $350 (mid-range of $150–$500 per visit; burst pipe $500–$1,500) | Today's Homeowner | 0.6 | 0.9 | 1.4 |
| HVAC repair | $375 average | Fixr, 2026 | 0.5 | 0.8 | 1.3 |
| HVAC replacement | $5,000 (low end of $5,000–$12,000) | KaiCalls, citing ServiceTitan 2024 | 0.04 | 0.06 | 0.1 |
| Electrical service call | $250 (mid-range of $176–$327) | Fixr, 2025 | 0.8 | 1.2 | 2.0 |
| Roof replacement | $10,000 average | Fixr, 2026 | 0.02 | 0.03 | 0.05 |
| New dental patient, first year only | $600 (mid-range of $500–$700) | PatientXpress | 0.3 | 0.5 | 0.8 |
Read that table plainly: in every trade listed, one additional booked job a month covers the Starter plan, and in most it covers Business. A roofing company breaks even on one replacement every two to four years. A dental practice breaks even on one new patient every three months, before counting the $4,500 in cumulative production Scheduling Institute attributes to a patient over 7–10 years.
Apply a 40% margin instead of revenue and the numbers roughly double. They are still under two jobs a month everywhere except electrical, where they are about two.
Where the extra jobs come from
A break-even of "one job a month" is only meaningful if the AI actually captures calls you were losing. Three places it does:
- After hours. Every call from close to open currently goes to voicemail, where roughly 80% of callers hang up. The AI answers, books into your calendar, and transfers true emergencies to the on-call phone on keywords you choose.
- Overflow. When two calls arrive at once, the second one rings out. The AI answers an unlimited number of simultaneous calls, so there is no second one.
- Lunch, sick days, and the 2 PM supplier call. The daytime gaps nobody counts. We walk through a roofing company's day, hour by hour, in How Roofing Companies Lose Jobs at 2 PM on a Tuesday.
If your miss rate is 30% and you take 150 calls a month, that is 45 calls a month the AI answers that were previously going nowhere. Even at half being new customers and a third of those booking, that is seven jobs, against a break-even of one.
Two returns the formula leaves out
Paid leads. If you run Google Ads or Local Services Ads, each missed call also wasted the lead cost, and Google's Local Services documentation states that "missed calls may negatively affect your responsiveness," which is a ranking input. (Google) The full math is in You're Paying for Calls Nobody Answers.
The owner's nights. If your current after-hours plan is your own cell phone, part of the return is that it stops ringing at 11 PM for a question the AI can answer, and rings only for the emergencies you told it to transfer.
Neither is in the widget. Both are real.
When it is not worth it
Three cases, honestly:
1. You genuinely take very few calls. If your business gets 20 calls a month and misses two, the recovered revenue may not clear $199 in a slow trade. Run the widget; if break-even needs more jobs than you plausibly miss, the answer is no.
2. Every call needs you personally, with no first step an assistant could take. Some consultancies and specialist practices are like this. If there is nothing to book, no question to answer, and no intake to capture, an answering layer adds a hop without adding value.
3. You need something the product doesn't do. After Hours CallBot answers in English and Spanish; other languages are by request. It is not configured as a HIPAA-covered service by default; if your workflow requires a Business Associate Agreement before storing protected health information, ask before going live. If either is a hard requirement today, it is not worth it yet.
Everything else, from trades to practices to firms, is a call-volume question, and the table above answers it.
How to test it without believing any of this
The 14-day trial is an experiment, not a demo. Run it as one:
- Pull one week of your call log and count missed calls before you start. That is your baseline.
- Forward your existing number (your customers keep dialing the same one) and let the AI answer for two weeks.
- Count the bookings and captured leads in the email summaries that arrived outside hours, during lunch, or while your line was already busy.
- Multiply by your ticket. Compare to the plan price.
If the number is smaller than the plan, cancel from the billing settings and you have lost nothing but the twenty minutes of setup. If it is larger, you have your answer and the evidence behind it. Frequently asked questions
- How much does an AI receptionist cost per month?
- After Hours CallBot is $199, $299 or $499 a month depending on plan, plus $0.12 per minute beyond the included call time. Other vendors price per call or per minute, which rises with volume.
- How many jobs does an AI receptionist need to capture to pay for itself?
- Monthly price divided by job value. At sourced 2026 job values, one additional booked job a month covers the $199 plan in plumbing, HVAC, electrical, roofing and dental. Roofing and HVAC replacement break even on a fraction of one job.
- Is an AI receptionist worth it for a very small business?
- Only if you miss enough calls. Below roughly 20 calls a month with a low ticket, the recovered revenue may not clear the plan price. Measure your miss rate first.
- Is an AI receptionist cheaper than hiring a receptionist?
- On cost alone, yes: a flat $199–$499 a month against a salary plus taxes and benefits. But a human receptionist does more than answer the phone, and covers one call at a time during a shift. The comparison only matters if phone coverage is the job you are hiring for.
- Can I try an AI receptionist before paying?
- After Hours CallBot has a 14-day free trial with no card required. Forward your line, count the captured calls, and cancel from billing settings if the math doesn't work.
